This is a professional position that assists and supports the administrative operations of the Florida Department of Health in the Broward County’s HIV/AIDS Program office, which serves federal, state, and local customers. This position reports directly to the HIV/AIDS Program Coordinator.

Processes assignments and reports to the HIV/AIDS Program Coordinator. Maintains tracking systems for special projects. Keeps staff members informed on pending activities and the status of assignment completion. Follows up on work processes to ensure timely completion. Maintains appointment schedule and business calendar for program staff. Provides support services to the following programs:

  • HIV/AIDS Patient Care

  • ADAP Program

  • Ryan White Part B Program

Coordinates/communicates at an administrative level with managers, supervisors, and other personnel, which requires understanding of the HIV/AIDS Program office and Communicable Disease Division. Processes all correspondence. Resolves administrative problems by coordinating the preparation of reports, analyzing data, and identifying solutions.

Maintains all personnel records. Processes and reviews paperwork for all personnel actions, i.e. hiring packages and reclassifications. Coordinates logistics and processes travel & purchase requisitions for program staff. Practices proper phone etiquette when answering phone calls and responding to inquiries. Receives and appropriately distributes incoming mail. Prepares outgoing mail on a daily basis.

Maintains inventory of supplies by checking stock to determine inventory level and anticipating necessary supplies. Performs duties related to MyFloridaMarketplace, including requisition creation and invoicing.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and participating in program initiatives.

Performs other duties as required.

  • Ability to establish and maintain effective working relationships.

  • Skill in use of a personal computer.

  • Ability to communicate effectively; verbally and in writing.

  • Ability to operate a multiline telephone system.


A valid FL driver's license and access to a reliable automobile to be utilized for work purposes.


  • Bachelor’s degree from an accredited college or an associate's degree and two years of experience in customer service or a clerical setting

  • 1 year of experience as a staff assistant.

  • 1 year of experience working in a health care setting.

This position requires a security background check and/or drug screening and participation in direct deposit.
